The German Shepherd Dog Club of Wisconsin (“GSDCW”, “we”, “us”) operates the GSDCW membership management application (the “App”). This Privacy Policy describes how we collect, use, and protect your personal information.

Information We Collect

We collect information you provide when registering as a club member, including:

  • Name, email address, phone number, and mailing address
  • Membership and training participation details
  • Dog registration information (names, AKC numbers, vaccination records)
  • Payment and billing information processed through QuickBooks Online

How We Use Your Information

  • Managing your club membership and training enrollment
  • Sending invoices for membership dues and training fees via QuickBooks Online
  • Communicating club announcements, class schedules, and vaccination reminders via in-app posts, push notifications, and text messages
  • Maintaining accurate membership records for club operations

Third-Party Services

We use the following third-party services to operate the App:

  • Supabase — Database and authentication hosting
  • Intuit QuickBooks Online — Invoice generation and payment processing. When we send you an invoice through QuickBooks, your name, email, and billing details are shared with Intuit. Intuit’s use of your data is governed by Intuit’s Privacy Statement.
  • Twilio — SMS/text message delivery. When you opt in to receive text messages, your phone number is shared with Twilio to deliver messages on our behalf. Twilio’s use of your data is governed by Twilio’s Privacy Policy. We do not sell, rent, or share your phone number with third parties for marketing purposes.
  • OneSignal — Push notification delivery. When you enable push notifications, a device identifier is shared with OneSignal to deliver notifications. OneSignal’s use of your data is governed by OneSignal’s Privacy Policy.
  • Vercel — Application hosting

SMS/Text Message Data

If you opt in to the GSDCW Text Alerts Program (at https://gsdcw-app.vercel.app/sms-optin, on the registration form, or from your own member profile):

  • We record the date, time, and method of your opt-in, and of any opt-out
  • We collect your phone number and SMS opt-in preference
  • Your phone number is used solely to send you club-related text messages via Twilio
  • We do not sell, rent, lease, or share your phone number or SMS opt-in data with third parties for promotional or marketing purposes
  • SMS consent data (including opt-in and opt-out records) is retained for compliance purposes
  • No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
  • All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with, or sold to, any third parties.
  • You may opt out at any time by replying STOP to any message or disabling SMS in the App. Reply HELP to any message or email info@gsdcw.com for assistance.

Data Retention

We retain your personal information for as long as you are an active club member and for a reasonable period afterward for record-keeping purposes. You may request deletion of your data by contacting the club.

Data Security

We use industry-standard security measures including encrypted connections (HTTPS), secure authentication, and access controls to protect your information. Access to member data is restricted to authorized board members and instructors.

Your Rights

You may request to view, correct, or delete your personal information at any time by contacting a board member or emailing the club.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date.
